Summary

We have worked with Women in Sport over the previous 9 months on a data management project which was broken up into key phases of delivery. The project started with a data cleanse; the next challenge was for us to support WIS in ensuring that the information continued to stay as up to date as possible. This project has allowed our team to really get to grips with Etapestry and really understand WIS culture as a whole.

Approach

The project was broken up into the following key stages:

  • Cleanse of the existing data held on etapestry as segmented by Blackbaud
  • Update of all of the records identified as missing attributes with up to date emails and contacts
  • Ensure correct use of attributes used for records by developing a clear template guideline schema on allocating attributes going forward
  • Review use of journals and improve processes time or reduce number of keystrokes per entry
  • Ensure segmentation of data as per the guidelines provided by WIS
  • Creation of other new queries where appropriate to maximise segmentation
  • Cleanse of the existing CRM RAS entries so they are consistent and usable
  • Update all RAS journal entries such that we are able to pull all relevant categories into a report
  • Monitor the volume of enquiries at all three tiers
  • Make the system more efficient and easier for the Women in Sport team to input into and extract data from
  • Understand the impact of the support they have received across the three tiers

Outcome

The WIS team were left with a detailed user guide that clearly demonstrated how new RAS enquiries should be added to Etapestry in a way that allows them to easily be viewed at a later date and exported to allow the research team to report on this data.
